Operations Modernised with Dual-Model Driver Management, Automated Ledger Tracking, and Scalable GPS API Integration

Managing a commercial EV fleet isn’t just about tracking vehicles; it’s about balancing driver payouts, fleet performance, and profitability in real time. XAAS Genie unified GHG’s dual driver models, automated financial ledgers, and intelligent GPS tracking into a single platform that keeps every trip, settlement, and vehicle under control.

Challenges

GHG operates primarily in the real estate sector while managing a fast-growing Electric Vehicle (EV) Fleet Management business. The company deploys a commercial fleet of electric vehicles operated across major ride-hailing platforms such as Uber, Ola, and Yatri Sathi. To maximize fleet utilization, GHG operates under two distinct driver models: a Commission-Based Model, where drivers earn a fixed revenue share per week with the balance retained as company profit, and a Subscription-Based Model, where drivers pay a fixed weekly fee and retain all trip earnings. As the fleet scaled, managing multi-model driver settlements, daily vehicle expenses, odometer tracking, and real-time profitability across disjointed spreadsheets became a critical bottleneck. Leadership needed a unified, high-performance platform to control operations without administrative drag. The risk wasn’t in their vehicle assets or market demand. It was in manual ledger reconciliation, fragmented driver settlements, and tracking performance data across multiple ride-hailing networks.

As commercial EV operations expanded, several structural and technical bottlenecks impeded efficient fleet oversight:
Managing two entirely different financial models (Commission-Based versus Subscription-Based) simultaneously created immense reconciliation friction using manual methods

Tracking granular financial transactions, including driver earnings, settlements, expenses, and credits/debits, lacked an integrated, automated ledger system

Monitoring vehicle utilization, maintenance costs, daily odometer readings, and overall business profitability required tedious cross-referencing of trip data

Implementing high-frequency GPS location tracking and detailed trip history presented a severe technical hurdle: storing continuous location pings natively inside Zoho Creator would have triggered massive data bloat and performance degradation

Drivers, routes, and vehicle movement reports lacked a centralized, real-time analytics hub to evaluate individual driver performance and trip earnings accurately

Solutions

XAAS Genie implemented a centralized, high-performance fleet management application tailored specifically for GHG’s commercial EV operations, overcoming technical constraints through smart architecture and deep platform customization. The solution successfully unified driver management, automated financial ledgers, and external tracking APIs into a seamless operational ecosystem.

The implementation covered the full operational lifecycle:
Dual-Model Driver Administration: Comprehensive management modules supporting both Commission-Based and Subscription-Based driver workflows, automating splits, subscription collections, and payout calculations

Integrated KhataBook-Style Ledger System: An automated credit-and-debit ledger system deeply integrated across all operational modules so that expenses, revenues, and settlements record instantly without manual data entry

Vehicle, Trip & Odometer Tracking: End-to-end oversight tracking vehicle health, assignment histories, daily odometer readings, and asset utilization rates

External GPS Tracking API Integration: Solved the high-frequency data volume challenge by avoiding native record bloat; instead, the application queries an external GPS API on demand to pull route histories, precise distances, and driver-wise trip analytics seamlessly

Executive Profitability Dashboards: Real-time visual insights covering fleet performance, net earnings, operational expenses, driver metrics, and overall business ROI

“ GHG modernised its commercial EV fleet operations, deploying a dual-model management platform with automated ledgers and optimized GPS tracking to scale urban mobility efficiently. ”

Results

The transition to a system-led, integrated fleet management platform delivered immediate and measurable results:

Optimized Financial Reconciliation: Automated the KhataBook-style ledger and multi-model driver settlement workflows, reducing administrative reconciliation time by over 75%.

Flawless System Performance & GPS Tracking: Bypassed native database bloat by integrating an external GPS API on demand, maintaining 75% application speed and responsiveness while securing complete route and trip history visibility.

Accelerated Payout & Revenue Cycles: Streamlined commission calculations and subscription tracking, ensuring zero discrepancies in driver earnings and company profit retention.

Enhanced Asset Utilization: Real-time tracking of odometer readings, vehicle maintenance, and driver performance increased overall fleet uptime and trip efficiency by 40%.

Actionable Business Profitability Insights: Empowered leadership with a comprehensive dashboard tracking real-time earnings, expenses, and site-level margins to guide fleet expansion.

GHG did not change how it deploys clean-energy commercial vehicles on ride-hailing networks. It strengthened how its fleet data, driver settlements, and operational ledgers are controlled, tracked, and scaled, establishing a resilient foundation for urban mobility growth.
